Setting up notification options for a workflow

For each workflow, you can specify notification options that impact the email notifications sent during the workflow process.

Notification options are managed in the Edit Workflow dialog. To access this dialog:

  1. On the Axiom tab, in the Administration group, click Manage > Workflows.

  2. In the Workflow Manager dialog, create or edit a workflow.

The Edit Workflow dialog opens. Most workflow notification options are defined on the Notification Settings tab of the workflow. Stage-specific options can be set on the Stage Notifications tab.

Defining the "from" address for a workflow

You can specify the "from" address for all workflow notification emails, on a per workflow basis. This setting is defined in the Notification From Email Address box on the Notification Settings tab of the workflow.

By default, the "from" address is the default "from" address defined for Scheduler in the system configuration settings (for example, noreply@axiomepm.com). If desired, you can override this default and type in a different email address to be used for the workflow.

Enabling or disabling workflow notifications

For each workflow, you can specify whether email notifications are sent to stage owners when a workflow task is created. Workflow tasks are created when a plan file enters a new stage, and when a plan file is returned to a prior stage (a "reopened" task).

By default, email notifications are enabled. If desired, you can disable all email notifications for the workflow by clearing the Generate notifications for workflow tasks check box on the Notification Settings tab.

If this check box is cleared, then users will not receive email notifications when they have new or reopened tasks, and the Email Message comment box will not display in the Workflow Action dialog when a user completes a workflow task. The only way that users will know that they have new workflow task assignments is via the Workflow pane.

NOTE: If an administrator moves a plan file using Move Current Stage, the check box in that dialog determines whether task notification emails are sent. If the check box is cleared, no notifications are sent. If the check box is selected, notifications are sent if notifications are enabled for the workflow.
