Open Plan Files dialog

Use the Open Plan Files dialog to open one or more plan files for a file group.

Plan file list

This dialog displays a list of all plan files that you can access in this file group. The list of plan files that you can access depends on your file group filter in Security. For each file group, you may have access to all plan files, no plan files, or a subset of plan files.

The list of plan files is displayed in an Axiom grid. You can use standard Axiom grid features to sort, filter, and group the list. Additionally, there is a filter box at the top of the dialog that can be used to quickly find a particular plan file. The file group administrator determines which plan file properties are included in this search, but by default the plan code and description are searchable.

In most cases, the following columns of information are displayed for each plan file. You may see additional or different columns, as determined by your file group administrator. You can hide columns or show additional columns by right-clicking the column header.

Column Description
<Plan Code>

Displays the individual plan codes for each plan file.

For example, if DEPT is the plan code table The table that contains the list of plan codes for a file group. Generally, each code in the table will have a plan file for developing plan data., this column lists the department code for each plan file.

Description

Displays the description of the plan code. This column may have a different name.

Locked By

If the plan file is currently locked by another user, that user's name displays in this column.

A plan file becomes locked if another user has opened the file as read/write. If the plan file is currently locked, then you can only open it as read-only.

Last Modified By The user who last modified the file.
Last Modified The date/time the file was last modified.

If no plan files are displayed in this dialog, then one of the following situations applies:

  • You do not currently have access to any plan files in this file group.
  • No plan files have yet been created for this file group.

Settings

This dialog has one available option: Show Plan Files that have not been created. This option is only available to administrators or to users with the Create Plan Files permission.

By default, this check box is not selected, so this dialog only displays plan codes for which plan files have already been created.

If you select this check box, then the dialog displays all plan codes in the plan code table (except for plan codes that have been excluded from file group lists by using the Show On List column for the file group). If a plan file has not yet been created for a plan code, then the File Exists column displays False for that plan code. The File Exists column is always present in the grid if this option is available.

This option does not apply to on-demand file groups.

Actions

  • To open plan files, select one or more plan files in the list, and then click OK. You can use the SHIFT key or the CTRL key to select multiple plan files.
  • To create a plan file, click the link in the upper right-hand corner of the dialog. The name of the link is configurable per file group (for example, it may say "Create new project" or "Add new plan file").

  • To clone a plan file, select the plan file in the list and then click Clone selected item.

NOTE: The create and clone options are only available if the file group is an on-demand file group. Additionally, the "clone selected" option can be disabled at the file group level.

The following additional actions are available by selecting one or more plan files and then right-clicking the selection:

Item Description
Open Read Only Open the plan file(s) as read-only. You might do this if you want to look at a plan file, but you do not want to lock it for editing. Other users can still open the file as read/write.
Open Without Refresh

Open the plan file(s) without refreshing Axiom queries that are configured to refresh automatically when the file is opened. This option is only available to administrators. For more information, see Opening an Axiom file without refreshing data.

Open as Spreadsheet

Open a form-enabled plan file as the source spreadsheet file instead of as the web form. This option is only available if the plan file is form-enabled and therefore would normally open as an Axiom form.
Clone selected item

Create a new plan file by making a copy of the existing plan file.

This feature only applies to on-demand file groups.
