Shortcuts to file folders

You can use shortcuts to file folders in order to view and open the files in that folder. For example, you can create a shortcut to a sub-folder in the Reports Library to dynamically include all of the reports in the folder using a single shortcut.

Supported contexts

Shortcuts to file folders can be used in the following shortcut contexts:

  • Favorites
  • Ribbon tabs
  • Task panes

Shortcut parameters

Shortcut parameters do not apply to folders.

Using file group aliases in a folder shortcut

You may want to create a folder shortcut that uses a file group alias in the path. When the file group alias is updated to point to a different file group, the folder shortcut will now look for the specified folder in the new file group. This approach is intended to help support file group rollover, so that you do not have to manually update the shortcut to point to the new file group.

In order to use a file group alias, navigate to the folder through the file group alias in Axiom Explorer. For example, you may have a file group alias named Current Budget that currently points to Budget 2019. When you expand the Current Budget node in Axiom Explorer, it shows all of the folders and files for Budget 2018. If you select a folder under the Current Budget node, the resulting folder path will use file group alias syntax as follows:

When the task pane or ribbon tab is displayed in a user's session, Axiom Software looks up the current target of the specified alias and finds the folder in that file group.

NOTE: This functionality is only available when defining folder shortcuts for task panes and ribbon tabs. Additionally, you must use the browse button for the Shortcut Target to select the folder using the Axiom Explorer dialog. It is not possible to drag and drop the item from the Explorer pane in the left-hand side of the task pane or ribbon tab editor.

Remarks

  • In task panes and favorites, a shortcut to a folder displays as an expandable/collapsible item. You can expand the folder to view and open the files in the folder.

  • In ribbon tabs, the item displays as a button that opens a drop-down list. You can click the folder button to view and open the files in the folder.

  • In task panes and ribbon tabs, you can use the Display child items inline setting to display all of the items in the folder as in-line "embedded" items rather than underneath the folder parent. For example, if the folder contains 5 files, then those files will display as 5 individual items at the same level as the folder shortcut item, and the folder name will not display.

    NOTE: If you use this option in a ribbon tab, the ribbon tab will not update for any new files added to that folder during the current session.

  • Shortcuts to top-level library "nodes" such as the Reports Library or the Table Library are treated in the same way as shortcuts to folders. These nodes are effectively the parent folder for all items in the library.

  • If the folder contains form-enabled files, those files will not open as forms (unless the task pane is being used as a web navigation task pane). You must link to the form-enabled files individually in order to open them as forms.

  • Some special behaviors apply if the shortcut target is a folder in the Table Library. For more information, see Shortcuts to tables.
