About workflow statuses

Workflow status is managed at two levels: the workflow itself, and the individual plan files.

Generally, a workflow and its plan files are Inactive when the workflow is first created, Active after the workflow has been activated, and Completed when all workflow tasks are complete.

Workflow status

A workflow can have one of the following statuses, displayed in the upper right-hand corner of the Workflow Manager.

Status Description

Aborted

The workflow was active, but it has been stopped. If the workflow is reactivated, it will start over from the first stage.

Active

The workflow is active. Workflow stages and plan file owners are being enforced.

Completed

The workflow is complete. All plan files in the workflow are either completed or inactive.

If the workflow is reactivated, it will start over from the first stage.

Inactive

The workflow is inactive, and has never been activated.

Pending

The workflow is currently processing background tasks. The status will update when the background tasks are complete. You can Refresh the Workflow Manager to see the updated status.

Plan file status

A plan file in a workflow can have one of the following statuses, displayed in the Plan Files list of the Workflow Manager.

Status Description

Aborted

This status means one of the following, depending on the workflow status:

  • If the workflow is also aborted, this status reflects the status of the workflow.
  • If the workflow is not aborted, this status means that the plan file itself has been aborted within the workflow. If you reactivate the plan file, it will start over from the first stage.

Active

The plan file is active within the workflow. The plan file has valid owner assignments and has current valid tasks.

Completed

The final task for the plan file has been completed. The plan file has no more stages to move through.

Inactive

This status means one of the following, depending on the workflow status:

  • If the workflow is also inactive, this status reflects the status of the workflow.
  • If the workflow is active, this status means that the plan file itself is not active within the workflow. This occurs if a plan file has no assigned owners for any stages when the workflow is activated. (This may be intentional, if you have a handful of plan files that do not need to progress through the workflow.)

    If the workflow is for an on-demand file group, plan files are automatically activated in the workflow as part of the file creation process. If a plan file has no assigned owners in this case, then all stages are skipped and the plan file is completed in the workflow.

Pending

Background tasks are currently being processed for the plan file. The status will update when the background tasks are complete. You can Refresh the Workflow Manager or just the plan file list to see the updated status.

Stalled

The plan file has stalled in the workflow and cannot progress. For example, the plan file may be assigned a stage owner that has been disabled or deleted in Security.

In this case you must correct the issue and then "move" the plan file to the current stage to reset the task assignments and reactivate the plan file within the workflow.
