Setting up stage actions

Using stage actions, you can set up a workflow so that an action automatically occurs when a plan file completes the stage and moves to the next stage.

When are stage actions performed?

Stage actions are performed when the workflow task is completed and the plan file moves to the next stage. Therefore, actions are performed when:

  • The stage owner of an edit stage successfully submits the plan file.
  • The stage owner of a review stage successfully approves the plan file. If the review stage owner rejects a plan file, the plan file is moved to the prior stage instead of the next stage so no stage action occurs.

Stage actions do not occur if an administrator moves the plan file to the next stage (using Move Current Stage), or if the stage is skipped because the plan file has no assigned owner for the stage.

The stage action must complete successfully in order for the plan file to move to the next stage. If Axiom Software is unable to perform the stage action for any reason, then the plan file will remain in the current stage with a status of Stalled.

Available stage actions

Currently there is only one available action, to copy the plan file from the current file group to a target file group. Note the following about the copy action:

  • The stage owner does not need to have permissions to the target file group in order for the copy action to occur. The copy action is performed by the system.
  • By default, the option to Process and save the plan file after copying is enabled. After the file is copied, the plan file will be processed (running all active Axiom queries that are set to Refresh during document processing), and then the file will be saved (including a save-to-database). If an error occurs during this process, an email will be sent to the workflow administrator. If you do not want this processing to occur, you can disable this option.

Configuring stage actions

Actions can be configured on a per stage basis.

  1. In the Edit Workflow dialog, select the stage that you want to work with, and then click the Stage Actions tab.

  2. For Selected Action, select Copy Plan Files.

  3. For Target File Group, select the file group that you want to copy the plan files to.

    You can select any file group that shares the same plan code table.

You can edit these settings at any time. If you want to disable stage actions, set Selected Action back to None.
